Your information

Privacy, in plain language.

Here’s how Medibookings uses information when you search for a pharmacy or request an appointment.

Booking helpPrivacy

Booking details

Contact details, chosen pharmacy and appointment information needed to create and manage your booking.

Used for your appointment

Booking information supports confirmations, requested changes and reminders you choose to receive.

Access and retention

The selected pharmacy, authorized PharmaSafe personnel and delivery providers may handle relevant information.

Information collected

When you make a booking, the pharmacy and Medibookings receive the name, email address and mobile number you provide, along with the pharmacy, service, date and time you choose. The appointment record also holds its status and any information you choose to include in the booking.

You can book without creating a Medibookings account. If you opt in to text reminders, the appointment record stores that preference and the mobile number used for the booking.

If you use the pharmacy-page inquiry form, we collect the pharmacy name and city, your name and work email, and your optional phone number. That separate inquiry is used by the Medibookings team to review and respond; it does not create a pharmacy account or appointment.

How we use booking information

PharmaSafe Inc operates Medibookings. We use booking details to request and manage the appointment, send confirmation and status messages, support secure appointment access, and deliver text reminders when you choose them.

Booking contact details are not used for marketing. Vaccine eligibility and care decisions are made by your pharmacist, not by Medibookings.

Who can see or receive your details

The pharmacy you choose and its authorized team use the information needed to provide and manage your appointment. PharmaSafe personnel with platform administrator access may also access appointment details to operate and support the service.

Our delivery providers receive the information needed to send messages: Resend for email and Twilio for text messages. These providers process the recipient address or phone number and message content to deliver the communication.

Your appointment confirmation includes a private management link. Its access token is carried in the link fragment, then held in your browser tab’s session storage so the page can retrieve the appointment. RxNow receives the token in a request header to verify access; it is not part of that API request’s URL.

Pharmacy-page inquiries are available to authorized onboarding staff. Do not send medical details in that form or in email.

Location search and maps

You can search by city or postal code, or choose to let your browser share your location. If you type a location, the search text is sent to OpenStreetMap’s Nominatim service to find nearby places. If you allow device location, the coordinates are sent to RxNow to calculate and sort nearby pharmacy results. You can decline location permission and search by city or postal code instead.

The pharmacy map loads map tiles from the site’s configured map provider (OpenStreetMap tiles are used by default). Location search is for finding pharmacies; it is not saved as part of your appointment record by the booking form.

Retention and deletion

We keep appointment and related communication records while they are needed to provide the service, support bookings and selected reminders, maintain service records, or meet applicable obligations. Pharmacies may also maintain their own care or business records separately.

Pharmacy-page inquiries are kept while the onboarding team reviews and responds. There is no single fixed automatic deletion period for all booking and inquiry records.

Medibookings does not publish a fixed automatic deletion period for booking and communication records. If you ask for access, correction or deletion, email PharmaSafe and we will review the request. Information may need to remain while an appointment or reminder is active, for service records, or where applicable requirements call for it. Removing information from Medibookings does not remove a pharmacy’s independently held record.

Your choices

Location permission is optional. Text reminders are optional, too. Reply STOP to a reminder from an eligible Twilio sender to opt out of future texts from that sender. Twilio handles standard STOP suppression; the current Medibookings app does not keep a separate record of the provider’s suppression list. If you continue to receive texts after opting out, contact the pharmacy and let PharmaSafe know.

For an appointment, use the private management link in your confirmation email. Available options depend on the pharmacy and the appointment’s current state. Contact your pharmacy if the link does not offer what you need.

Questions or privacy requests

Medibookings is operated by PharmaSafe Inc in Edmonton, Canada. For website support, access or correction requests, or a privacy question, email [email protected]. Please do not send medical details or sensitive appointment information by email.

For care questions, appointment availability or changes, contact the pharmacy shown on your booking page.
